These terms apply between VATcube Ltd ("we", "us") and the company that signs up for VATcube Accounts ("you"). By creating an account or paying for a plan you accept them on behalf of your company.
1. Who we are
VATcube Accounts is provided by VATcube Ltd, a company registered in Cyprus under number (registration number), VAT number (VAT number), of Nicosia, Cyprus. You can reach us at support@vatcube.com.
2. The service
VATcube Accounts is accounting software provided online: sales and expense invoices, bank import and matching, the VAT return, payroll, the tax forms, reports and the related tools described on accounts.vatcube.com. It is made for businesses. By signing up you confirm that you act for a company or business, not as a consumer.
3. Your account
- Give true and complete details when you sign up, and keep them up to date on My company, Subscription.
- The administrator you name controls who can open your books. You are responsible for everything done by the people you give access to.
- Keep passwords secret and use two-factor sign-in. Tell us at once if you think someone has used your account without permission.
4. Free trial
New companies get a free trial of 7 days of the plan they choose. A card is needed to start it. Nothing is charged during the trial. On its last day the card is charged for the first period of the plan, unless you cancel before then on My company, Subscription. We remind you by email two days before. One free trial per company.
5. Plans, prices and payment
- Prices are in euro and exclude VAT. The current prices are: Starter € 16 a month or € 160 a year, Business € 29 a month or € 290 a year, Pro € 49 a month or € 490 a year.
- Cyprus VAT at 19% is added for customers in Cyprus and for customers in other EU countries without a VAT number. A business in another EU country that gives its VAT number pays no Cyprus VAT: the reverse charge applies and it accounts for the VAT itself. Customers outside the EU pay no Cyprus VAT.
- Plans are paid in advance, monthly or yearly, by card through our payment provider Stripe, and renew automatically at the end of each period until cancelled.
- Each plan includes a number of pages read by AI every month. Pages beyond that are charged at the price shown on the website and added to the next invoice.
- For every payment we issue a tax invoice and a receipt, sent by email and kept on My company, Subscription.
- We may change prices with at least 30 days' notice by email. A new price applies from your next renewal after the notice.
6. Payments that fail
If a payment fails, your books become read-only until it is paid: you can still open, print and export everything, but not change it. We try the card again over the following days and email you a link to pay. If a payment stays unpaid for 60 days we may cancel the subscription.
7. Changing plan
You can move to another plan at any time. The difference for the days left in the period is charged or credited on the next invoice. A smaller plan is possible only when your company fits within its limits (people, employees on payroll).
8. Cancelling and refunds
You can cancel at any time on My company, Subscription. The subscription then ends at the end of the period already paid, and nothing more is charged. Payments are not refunded for unused time, unless the law requires it or we decide otherwise in a particular case. A refund, when made, comes with a credit note.
9. Your data
- The data you enter is yours. We process it only to provide the service, as your processor under the General Data Protection Regulation, following your instructions as set by your use of the service.
- We keep it confidential, protect it with appropriate technical and organisational measures (each company in its own database, encrypted backups, two-factor sign-in, access logs), and only allow our staff and our sub-processors listed in the privacy notice to access it where needed to run the service.
- You can export your books to Excel at any time, also after cancelling.
- After a subscription ends, your books stay readable and exportable for at least 12 months. After that we may delete them, after telling you by email at least 30 days before.
- We help you answer requests from people whose data is in your books, and tell you without undue delay if we become aware of a breach affecting your data.
10. Acceptable use
Do not use the service for anything unlawful, do not try to get into data that is not yours, test or overload our systems, or resell access to the service without our written agreement.
11. Availability and support
We aim to keep the service available at all times, apart from maintenance, which we try to do outside working hours. We take backups and test them. Support is by email, within the times stated for your plan.
12. Your filings and advice
The service prepares returns, forms and reports from the figures you enter. You remain responsible for checking them, for filing them on time and for the accuracy of your books. The service does not give tax, legal or accounting advice, and does not replace the audit or review your company's financial statements may need.
13. Liability
We are not liable for indirect or consequential loss, loss of profit or loss of data you could have exported. Our total liability in any 12 months is limited to the fees you paid us in those 12 months. Nothing in these terms limits liability that the law does not allow to be limited.
14. Changes to these terms
We may change these terms. We email you at least 30 days before a change that affects you; if you do not agree, you can cancel before it takes effect.
15. Law and courts
These terms are governed by the law of the Republic of Cyprus. The courts of Nicosia have jurisdiction.
